UB Rotating Residents

Resident rotations at Roswell Park Comprehensive Cancer Center will be coordinated by your Roswell Park-sponsoring department, the Educational Affairs Office, and the Human Resources Management Office. Once the rotation schedule is provided to your sponsoring department, they must initiate a Roswell Park “Trainee Onboarding Request” and submit it to the Educational Affairs Office for review. After review, the Human Resources Management Office will email you with information and instructions on the requirements that will need to be completed prior to starting your rotation. Please note that requests must be submitted at least 30 days in advance of the proposed rotation start date for us to be able to complete all necessary onboarding requirements.

Once your Roswell Park-sponsoring department has initiated the request for your rotation, The Human Resources (HR) Management Office will email detailed information and instructions to you including:

  • Trainee Registration Form – This form must be completed upon receipt and immediately returned by email to the HR Office as it will be required to validate your program participation and set up your system accesses timely.
  • Seasonal Influenza Vaccination – HR will request proof of your seasonal influenza vaccination via email prior to your start date.
  • Campus Map – The map will direct you to come to the HR Office on the day that your rotation will start. This start date is contingent on receiving the items above timely.

At the time of your onboarding appointment in HR, you will review and sign some compliance forms and receive information on various Institute policies and procedures. At that time, you will complete a test on Institute policies and procedures which will fulfill our orientation requirements. Upon completion, you will immediately proceed to Electronic Health Records (EHR) training.

Your social security number and date of birth are required to create your Roswell Park network account and all system accesses. This information will be requested on the “Trainee Registration Form” that is emailed to you from the HR Office. You will be prompted to change your network password every 90 days during the duration of your training.

Your required Institute Electronic Health Records (EHR) training will be coordinated by the Human Resources Office and the EHR Training Office. At this time, training classes are held on Monday and Wednesday mornings, so your start date will be coordinated on one of those weekdays. Walk-ins to EHR training cannot be accommodated, so it is imperative that you complete the requirements noted above and have the date of your onboarding and training confirmed by Human Resources (which will be emailed to you).

The topics covered in your EHR training will vary depending upon your role. Some of the topics covered will include:

  • Orientation of Allscripts EHR (Sunrise Clinical Manager v15.1 software)
  • Orientation of McKesson PACS (radiology imaging) software
  • CPOE order entry
  • Structured notes
  • Medication Reconciliation
  • e-Prescriptions/EPCS

All residents and fellows are automatically registered to electronically prescribe non-controlled substances. If you are a resident or fellow requesting EPCS privileges for yourself, you must request approval from your supervising attending and ask that they or their Department/Program Administrator complete the "EPCS Request Form."

Please note that residents who are at Roswell Park for less than four weeks will only be approved to prescribe controlled substances on behalf of their listed attendings. Otherwise, residents and fellows will be given full prescribing privileges as allowable by their licenses.

Once the EPCS Request Form is submitted, the Health Care Training Office will contact the trainee to set up a 15-minute registration/training session. Trainees must bring the following items to the registration/training session:

  • Government issued identification such as a driver license or passport (UB student IDs or other hospital IDs do not meet this requirement)
  • Cell phone

Fellows who care for patients and who may enter clinical notes from home or are on-call require supervisor approval and may require the approval of their Department Head prior to obtaining remote access. Residents rotating at Roswell Park must provide documentation of on-call responsibilities and/or that they work in the Neurology Department and have approval from the Clinical Chief of Anesthesiology prior to obtaining remote access. Once access is granted, the Roswell Park Information Technology (IT) Helpdesk will contact the trainee to schedule a brief training session. Other rotating clinical residents are not eligible for remote access.

The Roswell Park IT Helpdesk provides support 24 hours per day. They may be contacted with questions at 716-845-8465 or emailed at helpdesk@roswellpark.org. If you have EHR issues after regular business hours, you may contact the IT Helpdesk for support.

Aside from on-street parking, there are various paid parking options available around the Roswell Park campus. Information on available parking options may be provided by the Roswell Park Parking & Transportation Operations Office at 716-845-1492.

Roswell Park’s Division of Public Safety works diligently to ensure the safety and security of our employees. They provide campus escorts as a courtesy service for employees and trainees. If needed after you start your training here, you may stop by the Public Safety Office located in the Main Hospital lobby next to the main entrance or contact them at 716-845-3069 to request an escort.
