The Executive Secretary provides administrative support to one or more physicians to include coordination of their clinical, education, & research activities. The Executive Secretary also manages Outlook calendar(s) of physician(s), manages physician credentials, CV, biosketch, & other documents/processes related to their professional roles, and works with administrative team in Department to provide support & coordination to general department activities such as Grand Rounds, meetings, retreats, observers, summer research students, etc.
The applicant must have an Associate’s degree and the equivalent of two years of full-time secretarial or related experience; or a High School Diploma or High School Equivalency Diploma and the equivalent of three years of full-time secretarial or related experience. The preferred candidate will be proficient in Microsoft Office suite, most especially Outlook and Word, will have additional work experience (two years or more) to include working with Excel & Powerpoint is preferred, and will have at least two years experience in management of a physician or busy professional's Outlook calendar. They will also have at least two years experience working in administrative support of a physician or busy executive/professional and at least one year of experience working in an academic setting or role. They will have comfort and preference for computer-based, the ability to gather & retain facts/information, then apply that information to make individual judgements, and they will have a interpersonal skill set to work productively & professionally with a diverse team of administrative staff & faculty.
