Description of Duties:
Performs more complex administrative, clerical, and general office duties of a highly confidential nature; transcribes, types, maintains records and files, distributes mail; performs telephone reception; welcomes and directs on-site visitors; duplicates and distributes photocopies; routes faxes; revises work assignments at various subordinate levels to enhance administrative support efforts and meet department objectives; participates in the team or group work activities in the office; performs the above duties and responsibilities in a considerably complex and confidential environment requiring little or no supervision with broad latitude for utilizing judgment and initiative.
Applicants must have an Associate’s degree and the equivalent of two years of full-time secretarial or related experience; or a High School Diploma or High School Equivalency Diploma and the equivalent of three years of full-time secretarial or related experience. The preferred candidate will have at least one year working in support of an academic physician and/or clinical fellowship program, ideally to include experience with grant and manuscript submission. They will also have at least one year experience using Microsoft Outlook to manage the calendar of a busy executive and will be proficient in Microsoft Word and Excel. They will have the ability to perform duties with a high level of attention to detail and organization at a fast pace, with independence once trained. They will have the ability to multi-task, prioritize work effectively, and communicate clearly, both verbally and in written communication. They will also be highly organized and will be able to put order and structure in place to support their own work duties.
