Description of Duties:
The Executive Secretary provides administrative support to one or more surgeons to include coordination of their clinical, administrative, education/training, and research activities. The Executive Secretary also manages Outlook calendar(s) of physicians and handles department-wide duties such as organizing events (Grand Rounds, special events), manages physician on-call schedule(s), and day-to-day business items such as purchases, reimbursements, and travels arrangements.
Applicants must have an Associate’s degree and the equivalent of two years of full-time secretarial or related experience or a High School Diploma or High School Equivalency Diploma and the equivalent of three years of full-time secretarial or related experience. The preferred candidate will have at least one year working in support of an academic physician and/or clinical fellowship program, ideally to include experience with grant and manuscript submission. They will also have at least one year experience using Microsoft Outlook to manage the calendar of a busy executive and will be proficient in Microsoft Word and Excel. They will have the ability to perform duties with a high level of attention to detail and organization at a fast pace, with independence once trained. They will have the ability to multi-task, prioritize work effectively, and communicate clearly, both verbally and in written communication. They will also be highly organized and will be able to put order and structure in place to support their own work duties.
