Description of Duties:
The Executive Secretary performs administrative duties of confidential nature, types, maintains, records, and files, distributes mail, and participates in team and group work activities in the office. The Executive Secretary will participate in letter drafting, proofreading and reports preparation and submission, will coordinate travel arrangements and event planning, processes the invoices for payments and monitoring accounts, and sets up WebEx (video and audio) conference calls. They also create and maintain databases, coordinate appointments and meeting invitations, provide administrative support to the research lab, coordinate interviews, update and maintain biosketches and CVs, have background in submission of grant applications, and assist with submission of manuscripts and abstracts.
Applicants must have an Associate’s degree and the equivalent of two years of full-time secretarial or related experience or a High School Diploma or High School Equivalency Diploma and the equivalent of three years of full-time secretarial or related experience. The preferred candidate will have a high level of Outlook calendar management experience, event planning experience, and administrative experience.
