Description of Duties:
The Executive Secretary is the primary front office support person for Cancer Genetics and Genomics- managing office supply inventory, ordering and organization, working with Purchasing/Accounts Payable and other internal departments on purchase requisitions, travel/A+ forms and reimbursements, checking for compliance with Institute policies;welcoming and directing on-site visitors, telephone reception, faxing/copying/scanning, distributing mail and paychecks, and participating in group work activities in the office. This position provides administrative support for the Department Administrator- preparing and purchasing requisitions, serving as the liaison between the department administrator and purchasing/ accounts payable, following up on any outstanding issues. Special project, including organizing/updating freezer inventory and freezer emergency contact information; assists with department inventory, IT Assest inventory. Preparing correspondence and materials for distribution to senior management and faculty, and assisting with paperwork, filing and organization. This position provides administrative support for Department faculty- preparing federal, state, and private foundation grant applications and subcontracts; assisting with progress report/annual/final reports, working with the grant manager to assure accurate and timely submission, and continuously updating required biosketch and active/pending support documents, focusing on accuracy and timeliness; assisting with publications in NIH PMCID system; and assisting with internal documentation such as IACUC and IRB forms. The Executive Secretary is the payroll timekeeper for department; orders PCs, contact for many IT and technical issues in the department: WEBEX system assistance, PC inventory, etc; maintains and updates the departmental website, and assists with various meetings- space booking, catering, billing, set-up, etc.
Applicants must have an Associate’s degree and the equivalent of two years of full-time secretarial or related experience; or a High School diploma or G.E.D. and the equivalent of three years of full-time secretarial or related experience. The preferred candidate will have excellent customer service focus and skills.
