Description of Duties:
Provides primary, more complex and highly confidential secretarial support. Types letters, memoranda, forms, reports and manuscripts from written copy, proofs materials for errors and ensures layout is in keeping with Institute format. Answers telephones, routes callers, takes messages and provides routine information to callers. Opens and routes incoming mail; distributes correspondence and other material to department staff. Prepares outgoing mail and correspondence including e-mail and faxes; prepares paperwork and maintains records related to area of responsibility. Schedules and coordinates meetings and facilities which may include travel and lodging arrangements; prepares agendas, reserves and coordinates preparation of facilities; records and transcribes meeting minutes. Welcomes visitors, determines nature of business, and announces visitors to appropriate personnel. Orders and maintains supplies; arranges for equipment maintenance. Compiles payroll data such as hours worked and employee identification numbers from time sheets and other records; distributes paychecks. Prepares requisitions and compares invoices against purchase orders and shipping and receiving documents to verify receipt of items ordered. Prepares other written documentation as required by the profession and the department; maintains, distributes, analyzes and projects information for required records, reports and statistics as directed. Manages sharepoint intranet site for Nursing Education. Able to transfer staff files into database, maintains database information and checklists. Attends meetings as required. Performs other related duties as assigned or requested.
Applicants must have an Associate’s degree and the equivalent of two years of full-time secretarial or related experience or a High School diploma or G.E.D. and the equivalent of three years of full-time secretarial or related experience.
