The Executive Secretary triages high volume patient/family/caregiver/RPCI staff & external calls to psychosocial staff and for assistance with lodging and transportation (including Medicaid, They will documents patient assistance in EMR, assists with Language Assistance Program needs-arranges interpreters for inpatient and outpatient, maintains logs, documentation and files, maintains financial records for patient assistance programs, handles all departmental invoices & keeps financial records including Angel Fund, manages financial requests through Quality of Life Grants, schedules Social Work & Psychology Patient clinical appointments, schedules clinic visits for outside Psychiatrist when necessary, performs complex clerical, administrative and general duties, acts as the department timekeeper, maintains the department time off calendar, prepares internal and external written correspondence in a professional manner, picks up and delivers departmental mail, delivers paperwork as needed to other areas when requested,schedules meeting rooms and equipment as requested, records and transcribes meetings accurately, maintains the department manuals when polices are renewed, updated, edited or retired, orders department office supplies and tracks usage. The Executive Secretary takes initiative and is able to work autonomously and provides cross coverage for the Case Mangement departmental secretary as necessary, inputs data and maintains databases, assists with departmental reports and data analysis such as Ql, language reports, department inventory and assets, as well as maintains staff assignment listing and on call schedules for staff and psychiatrists.
Applicants must have an Associate’s degree and the equivalent of two (2) years of full-time secretarial or related experience; or a High School diploma or G.E.D. and the equivalent of three (3) years of full-time secretarial or related experience.
The preferred candidate will have an Associated degree and the equivalent of two (2) years of full time full-time secretarial experience in an office/clinical setting requiring the use of medical terminology with the ability to type 45 words per minutes with accuracy and demonstrated proficiency at the advanced level of Microsoft Office Suite. The preferred candidate will be proficient in Microsoft Office programs, Excel, Power Point and Pub Med and relevant technologies. The candidate will have experience in overseeing multiple databases, preparing reports for presentations and audits. The preferred candidate will have experience in insurance verification, Invision GUI, EMR and scheduling.com. Strong organizational & and managerial skills a must with experience in data collection. The preferred candidate will have experience in telephone triage, outstanding customer service, excellent communication & time management skills with perfect time and attendance.
