Description of Duties:
The Executive Assistant II performs academic and clinical administrative duties of highly complex, often sensitive, and confidential nature for the chair of Urology & Director of ATLAS Program. The Executive Assistant II oversees, trains, mentors and supervises a team of administrative assistants that support both research and clinical faculty in Urology. They manage and prioritize the calendar of the Chair and additional faculty member(s) with high level of discretion and latitude in decision-making and time management on their behalf, prepare/distribute agendas, meeting minutes, reports, and other written documents on behalf of the Department and/or Chair, and act as the project manager to track, delegate, remind, and manage tasks of multiple team members with the goal of timely and accurate completion of project(s) and their components. The Executive Assistant II also assists with preparation and submission of manuscripts, abstracts, and grants, monitors department members adherence with policies, procedures, and all compliance-related activity and serves to coordinate/oversee access to department-specific servers/folders, email lists, and other electronic tools. They also handle travel arrangements and reimbursements, purchasing, and other transactions for the Department.
Applicants must have an Associate’s degree and the equivalent of five years of full-time secretarial or related experience; or a High School Diploma or High School Equivalency Diploma and the equivalent of six years of full-time secretarial or related experience. The preferred candidate will have at least five years of experience in an academic setting, supporting and working with clinical faculty, will be highly skills in Microsoft Office, including Outlook, and will have prior supervisor experience. They will be self-motivated, professional and capable of managing a work load and prioritizing tasks in a fast-paced environment. They will have tact, integrity, a professional polish and affect, and will uphold a strict level of confidentiality. They will also have excellent interpersonal communication skills, effective written and verbal communication skills, will be patient centered and customer service focused, and will possess working knowledge of grants, grant proposals and grant submissions.
This is a grant-funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables is required.
