Description of Duties:
The Assistant Grant Administrator assists Principal Investigators with the preparation and submission of grant applications, including budget projections, provides administrative support for active awards, secures post award changes in award terms and conditions and acts as post award liaison with sponsors, reviews and approves Payroll and Accounts Payable transactions ensuring that transaction is an allowable cost and funds are available to support transaction, and interprets complex terms and conditions and applies understanding of federal, sponsor and Institute regulations in order to assure portfolio compliance on all awards. The Assistant Grant Administrator also ensures that all reporting requirements, financial and non-financial, are met on his/her portfolio, ensures that funds are available and spent within terms of each individual award, assumes responsibility for timely financial analysis to assist Principal Investigators/Departments in determining account balance, and prepares financial reports due according to sponsor terms and requirements for portfolio ensuring expenditures are in compliance with sponsor guidelines and verification of indirect costs. They also have knowledge and understanding of federal laws and regulations effecting grant administration (e.g. OMB Circulars, FAR clauses, Executive Orders, etc.) and work as a collaborative team members whose mission is based on customer service and accuracy.
Applicants must have a Bachelor’s degree in an appropriate field and the equivalent of one year of full-time experience in grant accounting, budget preparation or financial analysis in a healthcare, academic or related setting; or an Associate’s degree in an appropriate field and the equivalent of three years of full-time experience in grant accounting, budget preparation or financial analysis in a healthcare, academic or related setting; or a High School Diploma or High School Equivalency Diploma and the equivalent of five years of full-time experience in grant accounting, budget preparation or financial analysis in a healthcare, academic or related setting. The preferred candidate will have excellent written and verbal communication skills, experience with MS Word, Excel, Access, Adobe Acrobat and the internet, and the ability to work independently and with a service-oriented team. They will also have excellent customer service skills, the ability to solve complex problems effectively, and the ability to meet deadlines and multitask.
This is a grant-funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables is required.
