Description of Duties:
The Assistant Contract Administrator will serve as an integral member of the Purchasing Department and will report to the Contract Administrator. The candidate will be responsible for administering activities related to the development of contracts for the purchase of facilities related equipment, materials, products and services. He/She will work closely with the Directors from Facilities Management, Planning, Engineering and Maintenance, Utilities, Capital Projects, Diagnostic Radiology, Radiation Medicine, Clinical Care Equipment, Lab Animal Resources and Science Administration. The candidate is responsible for ensuring that related contract processes are executed in a manner consistent with with NYS and RPCI procurement guidelines. He/She shall solicit bids, schedule and lead bid openings, manage the award documentation process, and oversee the administration of payments, project change orders and closeouts. The Assistant Contract Administrator will also be responsible for promoting, implementing and monitoring goals and utilization of NYS Minority and Women-Owned Business Enterprises.
The applicant must have a Bachelor’s degree in Business, Supply Chain, Procurement, Finance or a related field and the equivalent of two years of full-time purchasing or contract management experience in a healthcare, business or corporate environment or an Associate’s degree in Business, Supply Chain, Procurement, Finance or a related field and the equivalent of four years of full-time purchasing or contract management experience in a healthcare, business or corporate environment or an High School Diploma or High School Equivalency Diploma and the equivalent of six years of full-time purchasing or contract management experience in a healthcare, business or corporate environment.
The preferred candidate will have a Bachelor's degree in a business related field or an Associates degree with five years related experience. Experience in a contract system support role for Facilities Management contracting is preferred. Excellent interpersonal and communication skills and the ability to work in a fast paced team environment is required. Extensive knowledge of Microsoft office products is essential.
