Description of Duties:
The Administrative Assistant II functions as a para-professional, assigned to support the broader range of activities and responsibilities typically accorded to Chairs, Chiefs and/or Assistant Vice Presidents. The Administrative Assistant II performs duties in support of other professional staff related to the function of their assigned department or departments, coordinates travel arrangements and reimbursements, completes vouchers and purchase requisitions, and processes eTime for payroll. They also manage calendars and set up meetings for the Center Director and multiple faculty members, maintain biosketches and other support documents, assist with preparation of grant application, manuscripts, and preparations, and perform advanced duties, such as obtain and enter data to support various projects. The Administrative Assistant II monitors grants, compiles, sorts, and verifies accuracy of data, writes routine correspondence independently, often requiring technical knowledge of the particular function involved, plans and develops procedures to address service improvements in particular areas of assignments, and develops new and maintains established departmental policies and procedures, objectives, quality assurance programs, and safety and compliance standards. They function as part of the CPM Team and are expected to perform the above duties independently, confidentially, and with a high level of organization and attention to detail.
Applicants must have an Associate’s degree and the equivalent of four years of full-time secretarial or related experience; or a High School Diploma or High School Equivalency Diploma and the equivalent of five years of full-time secretarial or related experience. The preferred candidate will have an Associate's Degree with the equivalent of five years of full-time secretarial or related experience of a high school diploma or high school equivalency diploma and the equivalent of six years of full-time secretarial or related experience. They will also have an educational background in office skills, a secretarial program, and /or in an administrative curriculum. They will also have administrative experience (calendar maintenance and correspondence), experience coordinating travel arrangements, research-related experience (grants, manuscripts, presentations), and experience coordinating/facilitating special events. They will have advanced experience with MS Office (Outlook, Word, Excel, Powerpoint) and strong experience with grant submission.
This is a grant-funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables is required.
