Description of Duties:
Health Research Incorporated (HRI) Roswell Park Division is seeking a full-time Administrative Assistant II. This is a temporary position with opportunity to become permanent. The employee coordinates travel arrangements and reimbursements; completes vouchers and purchase requisitions; manages calendars and sets up meetings for the Center Director and multiple faculty members; maintains biosketches and other support documents; assists with the preparation of grant applications, manuscripts and presentations; obtains and enters data to support various projects; monitors existing grants, compiles, sorts and verifies accuracy of data; writes routine correspondence independently, often requiring technical knowledge of the particular function involved; develops procedures to address service improvements in particular areas of assignments; develops new and maintains established departmental policies, procedures, objectives, quality assurance programs, and safety and compliance standards; and attends meetings and records meeting minutes as required. The Administrative Assistant II functions as part of the CPM team and is expected to perform the above duties independently, confidentially, and with a high level of organization and attention to detail. The Administrative Assistant II performs other related duties as assigned.
Applicants must have an Associate’s degree and the equivalent of four years of full-time secretarial or related experience; or a High School Diploma or High School Equivalency Diploma and the equivalent of five years of full-time secretarial or related experience. The preferred candidate will have a Bachelor's degree and three years of full-time secretarial or related experience, an Associate's degree and five years of full-time secretarial or related experience, or a High School Diploma/G.E.D. and six years of full-time secretarial or related experience. They will have experience coordinating travel arrangements, research related experience (grants, manuscripts, presentations) and coordinating/facilitating special events. They will have an educational background in office skills, a secretarial program and/or administrative curriculum, experience managing grants and developing protocols, experience in a fast pace research academic setting, and excellent computing skills. They will also have strong communication skills and appropriate interaction with executive members of the organization.
This is a grant-funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables is required.
