Description of Duties:
The Administrative Assistant II performs highly confidential, complex administrative duties for the legal department. Interface with Roswell Park departments and external parties regarding contracts, scheduling, responding to communications and claims. Assist Senior Counsel for Risk Management in handling litigation claims, which include but is not limited to gathering documents and information responsive to discovery demands, scheduling meetings with employee witnesses, and communicating with the attorneys representing Roswell Park. Provide document management support, organize files and litigation documents, and has ability to generate and product reports and compliance and risk management data based on strong understanding of computer systems. Transcribe, type, maintain records and files; performs telephone reception; welcome and direct on-site visitors; duplicate and distribute photocopies; route faxes; prepare documents; including compilation of source documents retained to demonstrate regulatory compliance; develop system to maintain department objectives and comply with policies and procedures; participate in team or group work activities in the office; perform the above duties and responsibilities in a highly complex and confidential environment requiring direct supervision from a senior-level executive, with broader latitude for utilizing judgment and initiative. Assist attorneys and paralegals in the Office of General Counsel & Compliance to enhance administrative support efforts and meet department objectives.
The candidate should possess an Associate’s degree and the equivalent of four years of full-time secretarial or related experience; or a High School Diploma or High School Equivalency Diploma and the equivalent of five years of full-time secretarial or related experience.
This is a grant-funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables is required.
