Description of Duties:
The Administrative Assistant I functions as a para-professional, typically assigned to administrative departments, such as Finance, Planning, Human Resources or the Executive Office; performs duties in support of professional staff related to the function of their assigned department. Coordinates travel arrangements and reimbursements; completes vouchers and purchase requisitions; orders supplies; tracks billing and supplies in Excel; Obtains and enters data in Excel to support various projects; compiles/sorts/verifies accuracy of data; Manages Center Director’s calendar; sets up meetings for Director and faculty members; Maintains biosketches and other support documents for grants; assists with preparation of grant applications, manuscripts, and presentations; Assists with job postings by printing and organizing resumes, coordinating interviews and paperwork completion; Writes routine correspondence independently; Plans and develops procedures to address service improvements in particular areas of assignments; maintains established departmental policies and procedures; and assists with event organization.
Applicants must possess an Associate’s degree and the equivalent of four years of full-time secretarial or related experience or a High School Diploma or High School Equivalency Diploma and the equivalent of five years of full-time secretarial or related experience. The preferred candidate will have advanced experience with Microsoft Office (Outlook, Word, Excel, PowerPoint); research/academic related experience (i.e. grant submissions and support, manuscripts, presentations), experience coordinating travel arrangements, coordinating/facilitating special events and possess an educational background (i.e. secretarial program and/or administrative curriculum).
This is a grant-funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables is required.
