Description of Duties:
The Administrative Assistant I provides primary, complex and highly confidential secretarial support functions to the Executive Director of the Center; managing travel arrangements including reimbursement for travel expenses; manages calendars and sets up meetings, ensuring accuracy and availability for all meetings and presentations; demonstrating a working knowledge of the center and methods of operation with full understanding of Institute operations and procedures; Preparing and organizing invited guest seminars, symposiums and other events; performing more complex administrative, clerical, and general office duties in a scientific research setting; transcribes, types, maintains records and files; welcomes and directs on-site visitors; revises work assignments at various subordinate levels to enhance administrative support efforts and meet department objectives; participates in the team or group work activities in the office; maintains biosketches and other support documents; assists with and routes grant applications, manuscripts and presentations. The Administrative Assistant I also performs more advanced duties i.e. obtains and enters data to support various projects; compiles, sorts and verifies accuracy of data; writes routine correspondence independently, often requiring technical knowledge of the particular function involved; performs the above duties and responsibilities in a considerably complex and confidential environment requiring little or no supervision with broad latitude for utilizing judgment and initiative.
Applicants must have an Associate’s degree and the equivalent of three years of full-time secretarial or related experience or High School Diploma or High School Equivalency Diploma and the equivalent of four years of full-time secretarial or related experience. The preferred candidate will have experience managing calendars, scheduling meetings and coordinating WebEx conferences. Proficiency with Microsoft Office Suite is also preferred.
This is a grant-funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables is required.
