Description of Duties:
The Administrative Assistant I functions as an integral part of the Department of Medicine support staff team and is expected to perform the above duties independently, confidentially, and with a high level of organization and attention to detail. The Administrative Assistant I coordinates travel arrangements and reimbursements; completes vouchers and purchase requisitions; manages calendars and sets up meetings for multiple faculty members; maintains biosketches and other support documents; assists with and routes grant applications, manuscripts and presentations. The Administrative Assistant I also performs more advanced duties i.e. obtains and enters data to support various projects; compiles, sorts and verifies accuracy of data; writes routine correspondence independently, often requiring technical knowledge of the particular function involved; plans and develops procedures to address service improvements in particular areas of assignments; maintains established departmental policies and procedures, objectives, quality assurance programs, and safety and compliance standards; attends meetings and records meeting minutes as required; and maintains, distributes, analyzes and projects information for required records, reports and statistics as directed.
Applicants must have an Associate’s degree and the equivalent of three years of full-time secretarial or related experience or a High School Diploma or High School Equivalency Diploma and the equivalent of four years of full-time secretarial or related experience.
This is a grant-funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables is required.
