Description of Duties:
The Administrative Assistant I will be providing primary, more complex and highly confidential secretarial support functions to the Executive Director of the Center; managing travel arrangements including reimbursement for travel expense. Providing necessary organized correspondence and other written materials from department personnel to the Executive Director & Associate Director, ensuring accuracy and availability for all meetings and presentations, demonstrating a working knowledge of the center and methods of operation with full understanding of Institute operations and procedures; Preparing and organizing invited guest seminars and symposiums; event planning, performing more complex administrative, clerical, and general office duties in a scientific research setting; transcribes, types, maintains records and files, assisting the department administrator with various projects, welcomes and directs on-site visitors; revises work assignments at various subordinate levels to enhance administrative support efforts and meet department objectives; participates in the team or group work activities in the office; writes, submits, maintains, and tracks grant submissions and/or activities. Performs the above duties and responsibilities in a considerably complex and confidential environment requiring little or no supervision with broad latitude for utilizing judgment and initiative.
Applicants must have an Associate’s degree and the equivalent of three years of full-time secretarial or related experience; or High School Diploma or High School Equivalency Diploma and the equivalent of four years of full-time secretarial or related experience.
The preferred candidate will have experience: with biosketch formats and requirements, and grant submissions; with manuscript preparation and submission; using EHR and Scheduling.com; and coordinating WebEx conferences ; and proficiency with Microsoft Office Suite. The candidate will be a team player, have the initiative and ability to work with little supervision, effective Time Management, attention to detail and excellent interpersonal and communication skills in order to work collaboratively and effectively with a wide range of people.
This is a grant-funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables is required.
